MHC Leeuwarden attaches great importance to the protection of your personal data. In this Privacy Statement we want to provide clear and transparent information about how we handle personal data. We do everything we can to guarantee your privacy and therefore handle personal data with care. MHCL complies in all cases with the applicable laws and regulations, including the General Data Protection Regulation. This means that we in any case:
- Process your personal data in accordance with the purpose for which it was provided, these purposes and types of personal data are described in this privacy statement;
- Processing of your personal data is limited to only those data that are minimally necessary for the purposes for which they are processed;
- Ask for your explicit consent if we need it for the processing of your personal data;
- Have taken appropriate technical and organizational measures to ensure the security of your personal data;
- Do not pass on personal data to other parties, unless this is necessary for the implementation of the purposes for which they were provided;
To be aware of your rights regarding your personal data, to point this out to you and to respect them.

1. Subject
1.1. In this Privacy Statement, the association Mixed Hockey Club Leeuwarden ("MHCL") informs you how it handles the personal data of its members, volunteers, employees, visitors and users of its website(s), app(s), accommodation and events and other persons of which
MHCL processes personal data.
1.2. By means of this Privacy Statement, MHCL implements the information obligations of Articles 13 and 14 of the General Data Protection Regulation ("GDPR").
1.3. In this document, the following terms have the following meanings:
(a) App: any app made available by MHCL to data subjects.
(b) Data subject: any person whose personal data MHCL processes as controller as referred to in the GDPR.
(c) Personal data: any data that can be directly or indirectly traced back to a data subject as referred to in the GDPR.
(d) Processing: any action as referred to in the GDPR that relates to personal data. This may include, for example, the collection, storage and use of personal data.
(e) Website: any website offered by MHCL, including www.MHCL.nl.
2. General
2.1. MHCL processes personal data in accordance with the GDPR and Dutch law and in a proper and careful manner.
2.2. Personal data will only be processed for the purposes described in Article 3.
2.3. Personal data will only be processed if and to the extent that at least one of the following grounds from the GDPR is met:
(a) the data subject has given consent to the processing of his or her personal data for one or more specific purposes;
(b) processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract;
(c) the processing is necessary for compliance with a legal obligation to which MHCL is subject;
(d) processing is necessary in order to protect the vital interests of the data subject or of another natural person;
(e) processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in MHCL;
(f) processing is necessary for the purposes of the legitimate interests pursued by MHCL or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.
3. Purposes of processing personal data
3.1. MHCL processes personal data of data subjects in order to be able to carry out its association activities, more specifically:
(a) maintaining its membership administration and the (invoice) administration of donors, relations and sponsors;
(b) facilitating the sport of hockey, including participation in matches, competitions, training, tournaments and team management;
(c) organizing events of or at MHCL, such as Super Sundays, drinks for former members, donors, relations and/or sponsors;
(d) facilitating the activities of various target groups within MHCL, including the
organizing events for these target groups and maintaining membership administration for these target groups;
(e) the management and operation of the accommodation, such as for the purpose of bar services;
(f) the management of the MHCL organisation, such as administering the various committees;
(g) informing members about the activities and organization of MHCL, including by electronic mail or App;
(h) screening volunteers;
(i) implementing the Articles of Association and regulations;
(j) the handling of complaints and the registration of incidents;
(k) the personnel and payroll administration of its employees;
(l) the administration of its volunteers;
(m) assessing the application for membership or volunteer;
(n) offering and managing closed websites and Apps for its members and volunteers and to obtain information about the quality or effectiveness of websites and Apps, for example by means of cookies;
(o) ensuring safety and a good atmosphere at the MHCL accommodation or for the benefit of
MHCL events;
(p) performing analyses of personal data for statistical and scientific purposes;
(q) for purposes about which the data subject is informed separately in advance;
(r) complying with legal requirements, such as those relating to accounting and tax legislation.
3.2. Personal data will not be further processed by MHCL in a manner that is incompatible with the purposes for which they were obtained.
4. Image and sound
4.1. During the training sessions, matches and activities at or of MHCL, photos are regularly taken and videos are made of actions and atmospheric images on which members of MHCL, members of other associations or visitors are depicted. These images can be used on the website and/or App.
4.2. If there are any objections to this, this should be made known via [email protected]. The image material in question will then be removed. MHCL has the right to reject the removal request with regard to general action images or atmospheric images on which the person concerned is not

5. Cookies
5.1. MHCL uses so-called 'cookies'. Cookies are small text files that a computer stores when the website is visited or the App is used. The cookie remembers

5.5. To the extent that MHCL uses other cookies, data subjects may be informed separately about this when visiting the relevant website or App and, if legally required, permission will be requested.
6. Recipients of personal data
6.1. MHCL does not share the personal data it processes with third parties, except to the extent this article provides otherwise.
6.2. For the purpose of organising activities for which a data subject has registered, MHCL is authorised to provide the necessary personal data to third parties involved in the organisation. For example, in the context of organising the hockey competition, data from members and volunteers (such as referees) are passed on to the KNHB and other clubs.
6.3. Sponsors can use the address file of its members and volunteers via MHCL for a mailing.
6.4. MHCL may provide personal data to a third party if it has obtained the consent of the data subject to do so.
6.5. MHCL may engage processors or other service providers to support its administrative activities, for example for payroll administration. MHCL may also engage processors or other service providers to provide technical support for its processes, for example providers of
Cloud computing services. An agreement will be concluded with processors that meets the requirements set by the GDPR, including those relating to security and confidentiality.
6.6. MHCL may provide personal data to third parties if this is necessary on the basis of a legal provision or in an emergency, to the extent that, in the reasonable opinion of MHCL, this is in the interest of its data subject.
7. Retention period
7.1. MHCL does not store personal data for longer than is necessary for the purposes referred to in Article 3.
7.2. Unless the person concerned indicates to delete the personal data, data in the membership administration will be retained for at least 7 years after the end of membership (the term of the statutory accounting obligation and fiscal retention period). After that, the personal data will be retained for, for example, a reunion or an anniversary.
8. Manage personal data via www.MHCL.nl
Members and volunteers can view and edit their own personal data via their personal account, accessible via the website www.MHCL.nl.
9. Rights of the data subject
9.1. The data subject has the right to request MHCL to inspect personal data and to request MHLC to rectify or delete the personal data or to restrict the processing concerning him or her, as well as the right to object to the processing and the right to request data portability, all subject to the restrictions imposed by the GDPR.
9.2. Where processing is based on consent, the data subject shall have the right to withdraw consent at any time, without affecting the lawfulness of the processing.

9.3. The data subject has the right to file a complaint with the Dutch Data Protection Authority.
9.4. If data subjects are requested to provide personal data, MHCL will identify the data that are optional as such. The data that are requested when applying for membership or registering as a volunteer and that are not identified as optional, are required by MHCL to comply with its legal obligations or to be able to carry out its association activities, including exercising its rights under the articles of association and regulations of MHCL. If these mandatory data are not provided, MHCL is entitled not to process the application.
